Position Overview
We are seeking a detail-oriented and highly organized Payroll Specialist to manage and process company payroll accurately and on time. The ideal candidate will ensure compliance with federal, state, and local regulations while maintaining confidentiality and providing exceptional support to employees regarding payroll matters.
The Payroll Specialist plays a key role in maintaining accurate records, ensuring tax compliance, and supporting overall financial operations.
Key Responsibilities
Process bi-weekly/monthly payroll for employees accurately and on schedule
Maintain and update employee payroll records (new hires, terminations, salary changes, benefits, deductions)
Ensure compliance with federal, state, and local payroll, wage, and tax laws
Calculate wages, overtime, bonuses, commissions, and deductions
Prepare and process payroll tax filings and payments
Reconcile payroll accounts and resolve discrepancies
Respond to employee inquiries regarding pay, taxes, benefits, and deductions
Prepare payroll reports for management and accounting
Coordinate with HR and Finance departments to ensure accurate employee data
Assist with audits and maintain payroll documentation
Stay updated on payroll regulations and best practices
Qualifications & Requirements
Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred)
2+ years of payroll processing experience
Strong knowledge of payroll systems (e.g., ADP, Paychex, QuickBooks, or similar)
Understanding of federal and state tax regulations
High attention to detail and accuracy
Strong organizational and time management skills
Ability to handle confidential information with integrity
Proficiency in Microsoft Excel and payroll software
Excellent communication and problem-solving skills
Preferred Skills
Certified Payroll Professional (CPP) certification (a plus)
Experience processing multi-state payroll
Experience in benefits administration
Knowledge of labor law compliance
